Vendor invoices

Drop in a vendor invoice as a PDF, a photo, or an e-invoice. Fidrel reads the vendor, amounts, tax, and currency; you check them against the original and code the cost to the right estimate line item. Once the invoice is approved, it’s counted in cost tracking.

  1. The invoice is read for you

E-invoices are read exactly as they appear in the file. PDF invoices are read from their text, and scanned invoices and photos with text recognition. The fields show where on the page each value was read.

  2. Checks before you move on

Subtotal and tax are checked against the invoice total, the lines against the totals, and the invoice number against earlier invoices from the same vendor. If the invoice isn’t in the budget’s currency, the European Central Bank’s reference rate for the invoice date is suggested.

  3. Code, approve, track the payment

Fidrel suggests line items based on the text, cost codes, and earlier invoices, and shows what’s left in the budget. An invoice can be split across several line items. After approval, you record the payments, and it’s all there in the invoice’s history.

Approval

Approved only once everything is coded

The whole amount has to be coded to the estimate before the invoice can be approved. Approved details are locked, and a correction is made with a credit memo linked to the original.

  • Permissions per person: upload, edit, approve
  • Credit memos linked to the original invoice
  • The invoice log exports to Excel and CSV
